We are currently seeking an experienced Assistant Project Manager with a minimum of 7 years’ experience to join our Multi-Family wood studio. The incumbent(s) would be responsible for the optimal technical and financial performance of their assigned project(s). Ensure quality of design process; plan, coordinate, and manage contract documents and assist in construction administration as necessary. Develop and implement project schedule and budget, promotion effective client communications and negotiate addendum's and change orders.
DUTIES AND RESPONSIBILITIES
Perform an initial contract review to ensure full understanding of the requirements.
Assure that the following items are included in the written agreement:
Ensure accuracy in all communications with LDI’s clients
Clear articulation of the work scope
Schedule of “deliverables” including description, due dates, standards of acceptance (i.e., number of revisions) and any additional information/documentation required in reports
Project start and completion time line
LDI compensation clause stating terms (hourly rates, fixed price, etc.), amount of compensation and collection date, as well as, the client contact authorized to make commitments, changes, sign-off, etc.
Billing information including invoice mailing location, required documentation and any special instructions
If any of the above items are not addressed, it is the Assistant Project Manager’s responsibility to notify the assigned Supervisor and seek resolution. It is LDI’s policy that ANY changes to ANY of the items above are to be submitted in written form and signed by authorized LDI representative and client representatives.
Provide documentation and any other required information to initiate and administer a project. This includes appropriate architectural and administrative staff data for generating a project number, task codes, etc.
Develop all work scopes and prepare working budgets for projects, subcontracts and all related addendums for submittal to Associate Principal or Principal, as appropriate
Develop a Project Schedule and Budget for each project assignment, secure approval, and manage project staff, subcontractors and resources
Prepare monthly Project Status Reports on the project’s financial status, technical progress and schedules
Negotiate addendums and subcontracts
Assist in contract negotiations and budgets (consistent with company policies).

Coordinate commitments of staff needed with overall studio schedule coordinator
Function as main communications conduit for clients regarding project requirements and communicate the information to all team members throughout the project’s duration
Schedule project team meetings and communicate all technical and other project information to team members, across all disciplines
Perform project and quality control reviews to assure that the project exceeds client expectations
Provide thorough and accurate project filing and documentation (including both hard copy and electronic media)
Assist C.A. Group in reviewing and approving shop drawings, answer field questions and dispose all RFI’s, FC’s and CO’s
Mentor team staff, provide technical assistance and serve as resource to the staff-at-large in specific areas of expertise
Provide all project staff members with accounting and budget information for an accurate recording of labor and expenses (accounting codes, project numbers, etc.)
Review all invoices for accuracy and contract compliance (project/contract number, address, format, content, etc.) and insure that invoices are properly submitted
Document and obtain all necessary change orders and addendums, in a timely manner. Handle contract changes before (not after) work/services are provided
Notify the Group Principal and CFO of any “red flag issues” which could involve claims against the company, its staff or its subcontractors
Collect payments for services rendered on a timely basis
Deliver projects within budgets at or above initial profit estimates
Develop new business with assigned clients and participate as requested in proposal development and presentations
Formally begin to manage the design team as well as staff members
Demonstrates leadership skills with ability and willingness to face challenges, solve problems, and motivate others, while maintaining effective relationships with clients by meeting or exceeding their requirements and expectations
Must have a thorough understanding of state / local codes and accessibility requirements meeting state and federal standards
Ability to make effective and persuasive presentations on complex topics to employees, clients and top management
Good judgment and reasoning ability, enabling problem solving with the constant shifting of priorities and daily tasks
Self-motivated personality to take on projects and assignments
Ability to manage time, deadline oriented, and takes initiative (self-starter)
Ability to communicate both by oral and written English
Proven record in developing and maintaining client relationship
Develop skills in negotiation and dispute resolution
Keen observation and detail-orientated skills
Strong decision-making skills and responsibility for quality control of documents

Knowledge of professional ethics, as applied to architecture
Strong working knowledge of allied design disciplines
EDUCATION and/or EXPERIENCE
Education: Bachelor of Architecture, or equivalent
Experience: Recommend 7 years minimum in Architecture
Software Proficiency: Advanced skills in REVIT, MS Office required, Photoshop and/or InDesign a plus
Building Type: Wood-framed multi-family mixed-use high-density
Requires excellent oral and written communication skills and ability to effectively communicate
Must be able to write reports and business correspondence in clear concise business English. Must be able to effectively present information and respond to questions from managers, clients, customers, and the general public in a professional, collegial manner.
